This Privacy Policy explains how Data Trust ("we", "us") collects, uses and protects personal data of DPOs, Company Sub-Account users, and Super Admins who use the Platform.
Account data (name, email, password hash, role), company and sub-account records you enter, compliance module data (licences, policies, breach logs, tickets, assessments, ROPA entries, audit and review records), training and exam data, community posts, billing and subscription records, and technical data such as login timestamps and theme preference.
To provide the Platform's features to you; to send transactional emails (password resets, reminders, exam results, system notifications); to bill subscriptions and apply discount tokens; to moderate the community space; and to maintain the security and integrity of the Platform.
We process your data to perform our contract with you (providing the Platform), to comply with legal obligations, and, where applicable, on the basis of your consent (e.g. optional email notifications).
Within a DPO's account, data is shared only with users the DPO has explicitly granted access to (their Company Sub-Accounts). We do not sell personal data. We may share data with service providers who help us operate the Platform (e.g. email delivery) under appropriate safeguards, or where required by law.
We retain account and compliance records for as long as your account is active, and for a reasonable period afterwards to meet legal, audit and dispute-resolution needs, after which data is deleted or anonymised.
Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and may object to or restrict certain processing. Contact your Platform administrator to exercise these rights.
We use reasonable technical and organisational measures, including hashed passwords, scoped access control, and encrypted transmission where configured, to protect data against unauthorised access, loss or misuse.
We use a session cookie to keep you logged in and to remember your interface preferences (such as light/dark theme). We do not use third-party advertising cookies.
We may update this Privacy Policy from time to time; material changes will be highlighted on the Platform.
